Purchasers treating custom decals like an off-the-shelf product often run into the same surprise: there is a sampling stage, a MOQ conversation, and a production clock that only starts after artwork approval. This article demystifies all three so you can schedule a custom waterslide decal order like a factory insider - and genuinely shorten it.
What MOQ actually means at a decal factory
MOQ is not a wall - it is a consequence of setup. Each job consumes prepress time, press setup, a screen for white or varnish, and a quality-control pass. Spread over five sheets those fixed costs look absurd; spread over five thousand they nearly disappear. That said:
- Digital runs have very low effective MOQs - small batches, samples and even one-off custom sheets are routine.
- Offset jobs become economical in the low thousands of sheets because plates are involved. Learn why in our digital vs offset breakdown.
- "Flexible MOQ" means the factory will mix methods to fit your quantity rather than reject the inquiry - not that unit prices at 50 pieces will match 50,000.
The sampling stage: what happens in 5-7 days
A physical sample is not a formality - it is where 90% of disputes are prevented. Our standard sequence:
- Artwork and spec confirmation (days 0-1): file review, surface color, film, white areas, finish.
- Digital proof (day 1-2): layout and white channel for your sign-off.
- Physical sample printing (days 2-5): on the actual film with the real inks.
- Inspection and shipping (day 5-7): photos plus courier to you, or application onto a sample you sent us.
Rush sampling is sometimes possible, but skipping the physical sample is where color and sizing errors turn into reprints. We strongly recommend confirming samples before mass production - it is written into our own QC process.
Production lead times, honestly
For most custom decal orders, bulk production runs 7-15 working days after sample approval, depending on:
- Quantity and printing process (digital faster, offset plus finishing longer)
- Spot white, varnish, die-cutting or other extra passes
- Ceramic/glass jobs that include kiln firing
- Whether raw film and specialty inks are in stock
- Peak-season queue position (Sep-Nov is the busiest window for holiday and next-year product launches)
Shipping is additional: express courier 3-7 days, air freight around a week, sea freight several weeks - but export documentation is prepared in parallel with production, not after it.
How experienced buyers cut real time off orders
- Send print-ready files early - vector, outlined fonts, white channel marked (see the artwork guide). File rework is the #1 hidden delay.
- Approve proofs fast: every day awaiting approval pushes the queue slot.
- Ship your actual product substrate to the factory with the first order so samples are applied on the real surface.
- Forecast reorders: with an open PO and retained samples, repeat runs skip re-proofing almost entirely.
- Plan launches backward: lock artwork 5-6 weeks before an in-store date for sea-freight economics, or 2-3 weeks with courier.
The quote-to-delivery checklist
- Artwork + sheet size + quantity + surface material
- Quotation within 24 hours
- Prepress review and digital proof
- Physical sample (5-7 days)
- Written sample approval
- Bulk production (7-15 days)
- QC, packing, export documents, freight
